Fields on the Contract Maintenance page

General tab

Actions on Contract

Disable Contract To disable the contract and any entitlements created based on this contract, click the Disable Contract button.
Extend Contract To change the expiration date for a contract, click the Extend Contract button.

Contract Header

Program Not editable. Displays the name of the program the contract was created under.
Type Not editable. Displays the program type for the program the contract was created under.
Market Segment Not editable. Displays the market segment for the program the contract was created under.
Point based Not editable. If checked, indicates that customers can earn points for purchasing products under this contract.
Point duration In the Point duration field, type the number of days that points earned under this contract are valid.
Program specific product prices Not editable. If checked, the prices charged for products ordered under this contract are determined by the program.
Status In the Status dropdown, select the status of the contract.
Contract # In the Contract # field, type the identifier to assign to this contract.
Contract site properties The contract may also include additional properties specific to the publisher.

Contract Start/End Dates

Contract start rule

To start the contract when it becomes active, click the Set to when contract becomes active radio button.

To use this option, the current contract status must be To be released. When the status is then changed to Active , the start date is set to that date.

To set the start date to a specific date, click the Set to specified date radio button. Type the start date in the accompanying field.

Contract end rule

To have the contract last indefinitely, with no end date, click the No end radio button.

To set the end date to be a specific length of time after the start date, click the Set to radio button. In the accompanying dropdown, select the contract duration.

To set the end date to a specific date, click the Set to specified date radio button. In the accompanying field, type the end date.

Next renewal period From the Next renewal period dropdown, select the renewal period for the next time the contract is renewed.

Publisher Information

Not editable. Displays the name, address, and contact information for the publisher.

Company Information

Displays the name, address, and contact information for the contract company. To select a contract company, click the find icon.

When you select a contract company, the Contract Administration Information section is filled in with the information for the selected company’s primary contact.

Contract Administrator Information

Displays the name, address, and contact information for the point of contact at the contract company. Defaults to the primary contact for the contract company.

To select a different point of contact, click the find icon.

Notes

Allows you to specify additional information about this contract not covered by the fields on these tabs.

Pricing tab

The pricing table is used to set the pricing tiers for the contract. The pricing tier is based on the number of points the customer has accumulated.

The contract automatically inherits the pricing rules from the program. You can then customize the rules for the contract.

To add a pricing rule to the bottom of the table, click the Add Rule button.

To Insert a rule below another rule, click the Insert Rule button.

To delete a rule, click the Select radio button next to the rule, then click the Delete Rule button.

For each rule:

  1. In the Level/Tier Name field, type the name of the tier.
  • In the Threshold field, type the minimum number of points required to reach this tier.
  • The Calc and Algorithm fields are designed to allow additional discounts based on the tier. These fields are currently not used for price calculation.

Rules tab

Required Information

Primary reseller

Displays if the program is set to prompt for a reseller.

To select a reseller for this contract, click the find icon.

Contract Emails

If the program is set to prompt for a contract email, the Contract Emails section allows you to set up a list of possible contract emails from which to select.

To add a contract email, click the Add email button, then type the email address in the field.

To select the contract email, click the radio button next to the email.

Auto-send contract message

To automatically send a contract welcome notification to the contract coordinator when a contract is created, check the Auto-send contract message check box.

To resend the contract welcome notification, check the Send Again button.

Terms & Conditions

The field in the Terms & Conditions section is used for boilerplate language for other terms and conditions for this contract or type of contract.

Product Language

Displays if the program is set to prompt for product language.

For each language allowed under this contract, check the check box next to the language name.

Maintenance Order Level Validation

After grace period of

In the After grace period of field, enter the number of days after the contract starts within which customers can purchase maintenance.

This is not recommended unless you require users to purchase maintenance licenses.

To set the basic restrictions on purchasing maintenance products:

  • To require customers to purchase the same number of maintenance licenses as original licenses, click the Must buy with every license radio button.
  • To allow customers to purchase fewer than but no more than the original number of licenses ordered, click the No more than licenses on order radio button.

  • To allow customers to buy no more than the total number of licenses for that customer, click the No more than matching license entitlements radio button.
  • To place no restrictions on purchasing maintenance products, click the Unlimited radio button.
  • To prevent customers from purchasing maintenance under this contract, click the Cannot buy any radio button.

Cannot go beyond end date check box To prevent maintenance products from expiring after the end date of the contract, check the Cannot go beyond
end date
check box.
Limit based on schedule and duration check box

To set the allowed maintenance product duration based on the number of days into the contract, check the Limit based on schedule and duration check box.

In the table that follows, for each rule, in the Up to # of days into contract column, type the number of days into the contract.

In the Product duration must equal field, type the value that the duration must be less than or equal to.

For example, up to 30 days into a 90-day contract, users may be able to purchase maintenance products with a duration less than or equal to 60. Up to 60 days into the contract, they may be restricted to products with a duration less than or equal to 30.

Maintenance Effective Start Date Handling

Base effective start date for order on From the Base effective start date for order on dropdown, select the method to use to determine when maintenance begins.
On expired renewals, price for From the On expired renewals, price for dropdown, select the method for determining the price of maintenance when the renewal period has expired.

Maintenance Expiration Calculation

You use the Maintenance Expiration Calculation section to determine when maintenance purchased under the contract expires. To select the calculation method, click one of the radio buttons:

  • To end maintenance on the same date as the contract, click the Co-terminate with contract radio button.
  • To determine the expiration date based on the duration of the maintenance product, click the No adjustment radio button.
  • To set the expiration date to the end of the month during which the maintenance product expires, click the End of month radio button.
  • To set the expiration date to the end of the quarter during which the maintenance product expires, click the End of quarter radio button.

Maintenance Pricing

Co-terminate with contract To end the maintenance on the date the contract ends, check the Co-terminate with contract check box.
If duration is longer than end of contract, then charge from the dropdown, select the method for determining the cost of maintenance if the remaining time in the contract is less than the product duration.
Pro-ration table**

If you selected Pro-rate against table as the pro-ration method, then you need to use the pro-ration table to set up the rules for pro-rating the price of maintenance.

For each pro-ration rule:

  1. In the Product Duration column, type the number of days that the maintenance will last.
  • In the % Duration column, type the percentage of time remaining before the contract expires.
  • In the % Charge column, type the percentage of the maintenance price to charge to the customer.

For example, if the duration is 365, the percent duration is 25%, and the charge is 0%, it means that for maintenance products that last a year, if there is less than 25% left in the contract duration, then the maintenance is free.

So if the contract began on January 1 and ends on December 31, but the maintenance isn’t purchased until November, then the maintenance is free.

If in the second line the duration is the same, the percent duration is 50%, and the charge is 25%, then if less than half but more than a quarter of the contract duration remains, customers are charged 25% of the original maintenance price.

So for the same January 1 and December 31 start and dates, if the maintenance is purchased in August, then maintenance is a quarter of the price.

Can be purchased after initial product purchase

To allow users to purchase maintenance after they’ve purchased the original product, check the Can be purchased after initial product purchase check box.

If the check box is not checked, users must always buy maintenance at the same time as the original product.

To limit the number of days after the initial purchase during which users can purchase maintenance, type a value in the field.

Can only purchase until product has new version To prevent users from purchasing maintenance for a product after a new version of the product has been released, check the Can only purchase until product has new version check box.
Retro charge to initial purchase date To use the initial purchase date as the billing date for the maintenance purchase, check the Retro charge to initial purchase date check box.

Tech Support tab

Technical Support Order Level Validation

Contract support From the Contract support dropdown, select whether technical support is included with the contract.
No limits
Cannot buy any
Must buy after initial maintenance purchase

To not place any restrictions on the purchase of technical support, click the No limits radio button.

To not allow users to purchase any technical support, click the Cannot buy any radio button.

To require users to first purchase maintenance before they can purchase technical support, click the Must buy after initial maintenance purchase radio button.

Within family & version To require users to purchase technical support for the same family and version as the original purchase, check the Within family & version check box.

Technical Support Expiration Calculation

You use the Technical Support Expiration Calculation section to determine when technical support purchased under the contract expires. To select the calculation method, click one of the radio buttons:

  • To end technical support on the same date as the contract, click the Co-terminate with contract radio button.
  • To determine the expiration date based on the duration of the technical support product, click the No adjustment radio button.
  • To set the expiration date to the end of the month during which the technical support product expires, click the End of month radio button.
  • To set the expiration date to the end of the quarter during which the technical support product expires, click the End of quarter radio button

Technical Support Pricing

If duration is longer than end of contract, then charge In the dropdown, select the method for determining the cost of technical support if the remaining time in the contract is less than the duration of the product.
Pro-ration table

If you selected Pro-rate against table as the pro-ration method, then you need to use the pro-ration table to set up the rules for pro-rating the price of technical support.

For each pro-ration rule:

  1. In the Product Duration column, type the number of days that the maintenance will last.
  • In the % Duration column, type the percentage of time remaining before the contract expires.
  • In the % Charge col
    umn, type the percentage of the maintenance price to charge to the customer.

For example, if the duration is 365, the percent duration is 25%, and the charge is 0%, it means that for technical support products that last a year, if there is less than 25% left in the contract duration, then the technical support is free.

So if the contract began on January 1 and ends on December 31, but the technical support isn’t purchased until November, then the maintenance is free.

If in the second line the duration is the same, the percent duration is 50%, and the charge is 25%, then if less than half but more than a quarter of the contract duration remains, customers are charged 25% of the original technical support price.

So for the same January 1 and December 31 start and dates, if the technical support is purchased in August, then maintenance is a quarter of the price.

Status tab

The Status tab lists the points or quantities accumulated thus far from purchases made under this contract.

Transactions tab

The Transactions tab lists actions that have occurred to the contract, including:

  • Contract creation

  • Contract activation
  • Contract extension
  • Contract renewal
  • Contract merge
  • Contract move
  • Contract disable
  • Renewal generation
  • Renewal cancellation
