Editing an entitlement

About editing an entitlement

Poetic allows you to make changes to some of the information about an entitlement.

You cannot change:

  • The entitlement type

  • Program and contract information

  • The entitlement end customer

Selecting the entitlement to edit

  1. On the Asset menu, click Entitlements. The Search Entitlements page displays.

If you belong to an end customer, and you are not linked to any other companies, then the search results are restricted to your company.

If you have access to more than one company, then you use the Company name field to search for entitlements by company.

  • Click the Options link for the entitlement you want to edit, then select Edit entitlement from the context menu. The Edit Entitlement option is also available from the Options list on the View Entitlement page. The Detail page of the Entitlement Maintenance process displays.

Editing the selected entitlement

Entitlement Details

From the Entitlement Details section, you can edit the following:

Restore this entitlement

The Restore this entitlement check box allows users to indicate if the entitlement should be restored (set to Available or Unassigned). When this box is checked when the user clicks on the next button in the edit entitlement process, Poetic will evaluate the new entitlement data to determine the appropriate status. This can be viewed if:

  • The status of the entitlement is Disabled

  • The user can see the edit entitlement page
Pub ID In the Pub ID field, type the identifier used by the publisher to refer to the entitlement.
Target tag In the Target tag field, type the target tag to assign to the entitlement.
Product

To assign a different product to the entitlement, click the Change Product link next to the product description.

The product type of the new product must be the same as the current product.

If product security categories are used, you can only select a product belonging to a product security category that you have privileges to manage.

If the entitlement has been activated, the activated items will be marked as “out of sync”.

Total qty In the Total qty field, type the new total quantity for the entitlement. If you are reducing the total quantity, and there is an activated quantity, you cannot reduce the total quantity to be less than the activated quantity.
LAC In the LAC field, type the License Authorization Code (LAC) that can be used to activate the entitlement.
Start date In the Start date field, set the new start date for the entitlement. The new start date cannot occur before the current date.
Expire date In the Expire date field, type the date the entitlement expires. You cannot set an expiration date for a permanent entitlement.
Duration If the entitlement has a duration instead of an expiration date, then in the Duration field, type the duration of the entitlement. In the dropdown, select the unit of measurement to use for the duration.

For EA entitlements, you can edit the following information.

EA order qty

This is the original quantity on the entitlement.

This value should rarely be edited.

Overdraft allowed

Indicates whether the end customer can activate a quantity greater than the original ordered quantity.

If the check box is checked, then the overdraft is allowed.

If the check box is not checked, then the overdraft is not allowed, and the customer can only activate the original ordered quantity.

If the check box is checked, then the Overdraft qty field is displayed.

If the check box is already checked, then if the customer already has activated some of the overdraft quantity, you cannot uncheck the check box.

Overdraft qty

Only displays if the Overdraft allowed check box is checked.

Use this field to edit the quantity that can be activated in addition to the original ordered quantity.

Note that when the entitlement is saved, the overdraft quantity cannot be less than the value of the consumed quantity minus the order quantity.

So if the consumed quantity is 15, and the order quantity is 10, then the overdraft quantity cannot be less than 5.

EA available qty

Lists the current quantity that is available to be activated. This value includes any overdraft quantity.

This value cannot be edited.

EA consumed qty

Lists the quantity that the customer has already activated.

This value cannot be edited.

For renewal and support information, you can edit:

Renewal status From the Renewal status dropdown, select the renewal status for the entitlement.
Support expiration In the Support expiration field, set the date that support ends.

If count-based subscription is used, where customers are entitled to receive a specific number of updates, then you can also edit:

Next delivery date

The date when the customer is due to receive their next update for this entitlement.

Either type the date in to the field, or use the date picker to select the date.

Deliveries remaining In the Deliveries remaining field, type the number of updates the customer is entitled to for this entitlement.

Party Details

The Party Details section lists the current parties for the entitlement. From the Party Details section, you can:

  • Select an end customer for an unassigned entitlement. To search for and select the end customer, click Select End Customer. When you select the end customer, the registered owner is set to be the primary contact. You cannot change the end customer on an assigned entitlement.
  • Select a different registered owner. To search for and select a different registered owner, click Select Registered Owner.
  • Select a dealer for an entitlement that does not have one, or select a different dealer. To search for and select a new dealer, click Select Dealer.
  • Select a different sold-to company. To search for and select a different sold-to company, click Select Sold-to.

Linked Entitlements

The Linked Entitlements section contains a list of the entitlements that are linked to the current entitlement.

To search for and select an entitlement to link to the current entitlement, click the Find link next to the appropriate Entitlement ID field.

To remove a selected entitlement from the list of entitlements, click the Clear link for that entitlement.

All linked entitlements must belong to the same pr
oduct family, contract, and group as the current entitlement.

Completing the editing process

  1. When you have finished making the changes, click Next. The Confirm page of the Entitlement Maintenance process displays, summarizing the updated information.
  • Verify the changes, and add any notes.
  • Click Finish. The Complete page of the Entitlement Maintenance process displays.

Edit disabled and expired entitlements

Admin users are able to edit Disabled and Expired entitlements under certain conditions. The disabled entitlements or expired entitlements must have an active quantity of 0.Users will NOT be able to edit disabled entitlements that have an active quantity > 0. Note: editing expired and disabled entitlements will have impacts on certificates as well.

Edit a Disabled entitlement from Entitlement Search

  • Admin user clicks Assets and then Entitlement to display the Search Entitlements page.

  • Admin user enters criteria information in the Entitlement Search Criteria section and clicks the Search Entitlement button.
  • Poetic display the entitlement result list on the Entitlement Search results page.
  • User finds a disabled entitlement.
  • User sees both View link and the Edit link on the row with the disabled entitlement.
  • User clicks on the Edit link for the disabled entitlement on Entitlement search results page.
  • Poetic displays the Entitlement Maintenance: Details page and edits the disabled entitlement.
  • User sees all of the same fields available for editing an entitlement as are available when editing entitlement in any other status.
  • User sees an additional checkbox Restore this entitlement on this page next to the status disabled.
  • User clicks on and checks Restore this entitlement checkbox.
  • User then clicks the Next button to display the Entitlement Maintenance: Confirmation page
  • User then clicks the Finish button to complete the entitlement modification.
  • The entitlement status will be updated accordingly.

Edit a Disabled entitlement from View Entitlement

  • Admin user clicks Assets and then Entitlement to display the Search Entitlements page.
  • User enters criteria information in the Search Criteria section and clicks the Search Entitlement button.
  • Poetic display the entitlement result list on the Entitlement search results page.
  • User finds a disabled entitlement.
  • User sees both View link and the Edit link on the row with the disabled entitlement.
  • User clicks on the View link for the disabled entitlement on Entitlement search results page.
  • Poetic displays the View Entitlement: Overview page.
  • Poetic displays the Edit button on the top menu of the View Entitlement: Overview page.
  • Poetic displays the Entitlement Maintenance: Details page and edits the disabled entitlement.
  • User sees all of the same fields available for editing an entitlement as are available when editing entitlement in any other status.
  • User sees an additional checkbox Restore this entitlement on this page next to the status disabled.
  • User clicks on and checks Restore this entitlement checkbox.
  • Note: Users will NOT be able to edit disabled entitlements that have an active quantity > 0.
  • User then clicks the Next button to display the Entitlement Maintenance: Confirmation page
  • User then clicks the Finish button to complete the entitlement modification.
  • The entitlement status will be updated accordingly.

Edit an Expired entitlement from Entitlement Search

  • Admin user goes into Poetic and searches for the customer’s expired entitlement.
  • User finds the expired entitlement to display the Entitlement Search results page.
  • User sees a link on the row with the expired entitlement to Edit entitlement.
  • User clicks on the link and Edits the expired entitlement.
  • User enters a future date in the Expired Date field.
  • User sees all of the same fields available for editing entitlement as are available when editing any entitlement in any other status.
  • User update the entitlement with this new expire date in the future.
  • User then clicks the Next button to display the Entitlement Maintenance: Confirmation page
  • User then clicks the Finish button to complete the entitlement modification.
  • The entitlement status will be updated accordingly.

Edit an Expired entitlement from View Entitlement

  • Admin user goes into Poetic and searches for the customer’s expired entitlement.
  • User finds the expired entitlement to display the Entitlement Search results page.
  • User sees a link on the row with the expired entitlement to View entitlement.
  • User clicks on View button and sees the Entitlement Overview page.
  • User clicks on the Edits button of the expired entitlement.
  • User sees all of the same fields available for editing entitlement as are available when editing any entitlement in any other status.
  • User update the entitlement with this new expire date in the future.
  • User then clicks the Next button to display the Entitlement Maintenance: Confirmation page
  • User then clicks the Finish button to complete the entitlement modification.
  • The entitlement status will be updated accordingly.

Additional notes: The following information is helpful to determine the expected entitlement status after completing an edit. Entitlement status in Poetic is always a reflection of the properties of the entitlement.

  • Entitlements with 0 quantity are Disabled.
  • Entitlements with an expiration date in the past are Expired.

  • Entitlements with no quantities available for activation are Active.
  • Entitlements with an End-Co party and at least one quantity available to be activated are Available.
  • Entitlements with no End-Co party are Unassigned.
